There are four levels of authorization available. They are configurable per message. If you want to restrict your users to a certain type only, you can configure that on a group by group basis in Admin → Groups.

Require Authentication to access/download

Authentication checkbox unchecked Don't require authentication

If you don't require authentication to download, that will mean that:

  • Anyone who receives the message URL will be able to download the attachments to the message. It's possible to forward to message link to anyone and they will be able to download the files.
  • Users won't be prompted to authenticate or validate their email address.
  • If the user is already already logged in, or have previously validated their email address, a download receipt will be emailed to the sender that they have downloaded the message. The first time a non-logged in user downloads the attachment a download receipt will be sent to the sender that someone (we don't know who) has downloaded the attachment. Subsequent downloads will be logged but no download receipt will be sent.

If you require authentication to download or access the file or message, you will then be able to select one of the three download permissions below, as highlighted in select dropdown the screenshot above.

Only Specified Recipients can access

If you select this option:

  • Only users listed in the To, CC and BCC field can download the files. No one will be able to forward the download link to anyone else.
  • A user that is not already logged in will be prompted to authenticate and if they are not available in the system, an email validation email will be sent.
  • A download receipt will be sent to the sender the first time each of the recipients downloads any of the attachments to the message.

Only Specified Recipients and Local Users can access

If you select this option:

  • In addition to listed users in the message, it's possible to forward the message to other local users. Local users are configured either on a group basis in Admin → Groups, or an individual basis in the Admin → Users. This is also good for things like distribution lists. If you send a message with "Specified Recipients Only" permission to "allusers@company.com", you have to be logged in as "allusers@company.com" to download the attachments. The system has no way of knowing that "allusers@" is a distribution list. With "Specified Recipients and Local Users Only" you can send a message to "allusers@" and any local user can download the attachments.
  • A user that is not already logged in will be prompted to authenticate and if they are not available in the system, an email validation email will be sent.
  • A download receipt will be sent to the sender the first time each of the recipients, or any of the local users, downloads any of the attachments to the message.

Anyone (with access to the randomized link) can access

If you select this option:

  • Anyone who receives the message URL will be able to download the attachments to the message. This can for instance be used when you want to send a press release. You can send the initial message to yourself and then just forward the public message URL to anyone you want, including posting it on a web page or in a forum. It's possible to forward to message link to anyone and they will be able to download the files.
  • A user that is not already logged in will be prompted to authenticate and if they are not available in the system, an email validation email will be sent.
  • A download receipt will be sent to the sender the first time each of the recipients, or any other user, downloads any of the attachments to the message.
